Role Description
The Miami Music Festival is seeking a dedicated and organized Administrative Assistant to support the Director of Administration and the Executive Director. The Administrative Assistant will be responsible for providing administrative support, managing phone etiquette and communication, and assisting with executive administrative tasks. This role offers the opportunity to work in a dynamic, fast-paced environment and contribute to the success of one of Miami's premier cultural events. The role is located in Miami Beach, FL and is an on-site position.
Event Coordination:
Assist in the planning and execution of festival events, including scheduling, logistics, and coordination with vendors and volunteers.
Prepare event materials, such as programs, tickets, and promotional items.
Provide on-site support during events, ensuring everything runs smoothly.
Communications:
Draft and distribute communications, including newsletters, press releases, and social media updates.
Maintain and update the festival's website and social media accounts.
Respond to public inquiries and provide information about the festival.
Volunteer and Intern Coordination:
Assist in the recruitment, training, and scheduling of volunteers and interns.
Maintain volunteer records and ensure proper communication with volunteers.
General Duties:
Perform other duties as assigned by the Director of Administration and Executive Director.
Adapt to the varying needs of the festival and provide support wherever necessary.
Additional Information:
Must be able to work in a variety of settings, including office, event venues, and outdoor locations.
Must be able to lift 50 lbs, or feel comfortable moving expensive equipment during set-up/tear down of events.
Required to work non-traditional hours including evenings and weekends as pre-assigned by manager.
Qualifications
Associate's degree or equivalent experience required; Bachelor's degree preferred.
Experience in an administrative or support role, preferably in a non-profit or arts organization a plus
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Experience with social media management and basic website maintenance.
Ability to work independently and as part of a team.
Knowledge of classical music is a plus
Flexibility to work evenings and weekends as needed, especially during the festival season.
Seasonal Position: Miami Music Festival is a summer music program. The candidate should be available from June 22 - August 4, 2025.
